At DBI IT, we place great importance on data security. Below, you can read about how we handle the personal data we process.

We process personal data about you in a number of situations, including when you visit our websites, interact with us, or use our products and services. We have implemented a range of technical and organisational measures to protect your personal data as effectively as possible.

We are a data-driven company that collects data from several different sources, including public registers. Some of the data we process may, in certain circumstances, relate to identifiable individuals, and some of it comprises ordinary categories of personal data that are publicly available. This data forms part of the solutions we make available to our customers. We have therefore implemented a range of technical and organisational measures to protect this data, and we impose certain requirements on the customers to whom we disclose it.

We have prepared an overview setting out details of the personal data we process. Among other things, it explains what data we process, the purposes of the processing, the categories of data involved, the legal basis on which we process it, how long we retain it, and the recipients of the data.

Legal basis for the processing of personal data

We must have a legal basis for processing your personal data, and this will be one of the following:

  • Performance of a contract
    This may apply where processing is necessary for us to provide services and functionality to you as a customer of ours.

  • Legal obligation
    This may apply where processing is necessary for us to comply with a legal obligation to which we are subject, for example under the Danish Bookkeeping Act or other legislation.

  • Legitimate interests
    This may apply where processing is necessary for our legitimate interests in operating our products and providing their functionality, understanding how you use our products and services so that we can optimise and further develop them, or processing and making vehicle data available to our customers.

    This may apply when we send you newsletters that you have subscribed to, or in connection with the use of cookies on our websites.

General information about our processing of personal data

Below is a brief overview of the situations in which we process personal data. If you would like more detailed information about a particular processing activity, you can find this in our overview of personal data processing activities.

  • When you visit one of our websites, we use cookies to collect the data necessary for the website to function (strictly necessary cookies). We also collect the data you consent to via the cookie settings panel on the relevant website.
  • We process the data you enter yourself or otherwise provide to us, for example by giving us an email address or filling in a form.
  • When you enter into an agreement with us, we process the data necessary to perform the contract, for example to give you access to our products, issue invoices, and so on.
  • When you are given access to a product through your workplace, we process your user data in order to give you access to the product.
  • When you log in to one of our products as a user, we process data about your use of the product, the technical settings required, and the data necessary for the website to function and for us to optimise and improve it over time.
  • When you interact with us through our social media profiles, we may, among other things, process the data you have consented to share via the settings of the relevant social media platform.
  • When you sign up to receive news, service updates and similar communications, we process the data necessary to send you the requested information.
  • We process and disclose data on vehicles and companies to our customers, including vehicle identification numbers (VINs) and registration numbers. We obtain this data, among other things, from public sources. In doing so, we ensure that a company's registered advertising protection (marketing opt-out) status is passed on to the users of our products.
  • We process and disclose publicly available information about business contacts responsible for specific functions within companies. This information is obtained either from the relevant company's own website or from a public register. It is updated on an ongoing basis and is deleted as soon as possible once it is no longer relevant.

Our use of social media

When you visit our social media pages or interact with us through them, we and the provider of the social media platform are joint data controllers for the processing of personal data that takes place on our page.

You should therefore be particularly aware that the social media provider processes data about you when you visit or interact with us through the platform. Such processing may take place even if you do not have a profile on the relevant platform. This will typically involve the following data:

  • Information available on your profile
  • Information showing that you have "liked" or otherwise reacted to our profile/page
  • Comments and reactions to our posts, as well as direct messages sent to us
  • Information showing that you have visited our pages

Our purposes for using social media are to improve our products and services and to communicate with and market ourselves to our customers, followers and other stakeholders. For these purposes, we use, among other things, the statistics and analytics we receive on an ongoing basis about visitors to our pages from the social media provider.

The social media provider will typically process personal data about you for purposes including compiling statistics on your behaviour, based among other things on your visits to our pages on its platform, improving its advertising system, and delivering advertising and personalising activities on the platform. Please note that the social media provider may share data with, among others, partners, advertisers, measurement partners and researchers, and may also transfer data to countries outside the EU/EEA.

Information you choose to publish on our social media pages is shared with many people. You should therefore not describe circumstances or share information that you do not want to be publicly available. We ask that you do not post sensitive or confidential personal data about yourself or others when posting or commenting on our posts on social media. You can delete your own posts and comments on our pages if you no longer want them to be available.

Cookies and other tracking technologies

Our websites always use strictly necessary cookies. We also use cookies and other tracking technologies on our websites for functionality, statistics and marketing purposes. We only use cookies and other tracking technologies that are not strictly necessary where you have given your consent.

Information about which cookies we use, their purposes and how long they remain active can be found in the cookie declaration on our websites. This is normally available in the cookie settings panel, typically opened via a small cookie icon in one of the bottom corners of the website, or via your settings menu once you are logged in to a product. Once you have consented to marketing cookies and similar technologies, the data collected through them, together with the other data we process about you for marketing purposes, may be used to plan, optimise and target our sales and marketing activities towards you and our other customers.

You cannot opt out of strictly necessary cookies, but all other cookies and tracking technologies are entirely optional and are managed either via the cookie settings panel on the website, typically opened via a small cookie icon in one of the bottom corners of the website, or via your settings menu once you are logged in to a product.

You can withdraw your consent to cookies at any time by first clicking the small cookie icon shown in the corner at the bottom of the website and then clicking the "Reject all" button in the cookie settings panel that appears, or via the settings menu once you are logged in to a product.

Withdrawing your consent does not affect any processing that has already taken place before the consent was withdrawn.

Recipients of the data

In certain cases, your personal data is processed by parties other than us. This may, for example, include our customers and the providers who deliver our IT systems or assist us with administrative functions, such as:

  • Our customers, when they purchase access to our products and services. This includes, among other things, vehicle identification numbers (VINs) and registration numbers, other vehicle registration data, and information on business contacts responsible for specific functions within companies
  • Social media providers, if you visit our pages or interact with us through their platforms
  • Legal advisers, including our lawyers, for example in connection with any potential disputes
  • Auditors and external bookkeeping providers, for example when issuing invoices and preparing our annual accounts
  • IT and service providers, including hosting companies, cloud service providers, and Software as a Service (SaaS) providers (online applications), such as email, CRM systems, accounting systems and the like

Transfers to third countries

We use software, cloud and infrastructure providers with international networks offering support, failover and uptime guarantees. As these are cloud-based services, these providers may, in connection with the delivery of their services, transfer data to countries outside the EU/EEA, including in connection with the technical maintenance of the system.

For certain countries, the European Commission has determined that they provide an adequate level of data protection compared with that within the EU/EEA. If we transfer your personal data to countries where this is not the case, the transfer to those countries will take place in accordance with the rules in Chapter V of the GDPR. Retention of data

DBI IT retains your personal data only for as long as necessary to fulfil the purposes for which it was collected. The retention period for each type of data is set out in our overview of personal data processing activities.

Your rights

You have a number of rights in relation to our processing of your personal data. If you wish to exercise your rights, please contact us at privatliv@dbi-it.dk.

  • Right of access: You have the right to request access to the personal data we process about you, to the extent you are not already aware of it.
  • Right to rectification: You have the right to have inaccurate personal data about you corrected without undue delay after you have requested this.
  • Right to erasure: In certain circumstances, you may have the right to have data about you erased before we would otherwise erase it under our standard procedures. This applies, among other things, where the data is no longer necessary for the purposes for which it was collected.
  • Right to restriction of processing: In certain circumstances, you have the right to have our processing of your personal data restricted. This means that we may only store the data but not otherwise process it. This will normally mean that you cannot use our products and services.
  • Right to object: You have the right, on grounds relating to your particular situation, to object to our otherwise lawful processing of your personal data.
  • Right to data portability: You have the right to receive your personal data in a structured, commonly used and machine-readable format, and to have this personal data transmitted from one data controller to another without hindrance.
  • Withdrawal of consent: Where we process your personal data on the basis of your consent, you can withdraw it at any time. Withdrawing your consent does not affect the lawfulness of the processing carried out before the consent was withdrawn.     • You are always welcome to contact us for further information on how to withdraw your consent.
    • You can withdraw your consent to receiving newsletters either via a link in the emails you receive from us, by completing the form on our website again and selecting "no", or by using your GDPR control panel under "My profile" on the website and changing your newsletter settings there.
    • You can withdraw your consent to the use of statistical cookies and marketing cookies via your GDPR control panel under "My profile", or via the cookie settings panel on the individual website, normally found behind the cookie icon in one of the bottom corners. Please note that each website has separate cookie settings.

Questions, exercising your rights, and complaints

If you are a user of our products and would like your personal data corrected or erased, for example because your contact details have changed, you are welcome to contact us on our main telephone number or email support@dbi-it.dk.

You have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet) about our processing of your personal data. The agency's contact details can be found at www.datatilsynet.dk.

Changes to this Privacy Policy

We may need to update this Privacy Policy from time to time. It is therefore a good idea to check it regularly for updates. We publish new versions on our websites.

This Privacy Policy is also available in Danish. In the event of any discrepancy between the Danish and English versions, the Danish version shall prevail.
